Terms and Conditions

Please take a moment to read these carefully before confirming your booking with Nepal Voyage Treks Pvt Ltd. Trekking, climbing, and touring in the high Himalayas can be unpredictable, physically demanding, and carries real risks including altitude sickness, injuries, and sudden weather changes. We do everything we can to keep our guests safe and well supported, but the mountains have a will of their own, and some situations can’t be controlled or prevented.

Nepal Voyage Treks Pvt Ltd is a registered trekking and adventure travel company operating from Ramhiti, Boudha, Kathmandu Nepal. By confirming a trip with us, you acknowledge the nature of the journey and agree to the terms below.


Booking and Payments

Your trip booking is confirmed once the advance payment is received. To secure a departure slot, you’ll need to pay 20% of the total trip cost as a deposit. This amount can be transferred via bank or paid by card, but either option may include additional bank processing charges of up to 4%, which are the responsibility of the client.

Once the deposit is received, we’ll email you a confirmation letter and guarantee the services listed on the itinerary page.

The remaining balance must be paid before the trip begins, either at our office or at your hotel prior to departure. Without the final payment, permits, tickets, or official trek documentation can’t be issued.


Cancellations and Refunds

If you need to cancel your trip, the refund policy depends on how close it is to your departure date:

Nepal Voyage Treks also reserves the right to cancel group departures if minimum traveler requirements aren’t met. In those cases, we’ll either reschedule your trip or offer an alternative route. If cancellation occurs due to natural disasters, flight shutdowns, political strikes, or government restrictions, refunds will be processed after deducting essential operating costs.

Trip amendment requests, including date or itinerary changes, must be submitted at least 90 days before the original departure. Late changes within 60 days may include a service fee of USD 50 per person, and cost differences may apply if market prices rise during the new travel window.


Insurance and Health Requirements

Travelers joining our treks must carry a valid travel insurance policy that includes medical emergencies, helicopter evacuation if needed, and coverage for flight cancellations where possible. You should also be physically and mentally fit to undertake the journey. If a health certificate is requested, trekkers must provide one along with necessary legal documents.

If a trek or climb can’t be completed due to personal health limitations or physical inability, the trip payment isn’t refundable. Likewise, if the route, accommodation, or transport needs to be changed mid-trip for safety reasons, we expect trekkers to show flexibility and understanding. Additional costs may apply for these necessary adjustments.


Third Party Services and Liabilities

Nepal Voyage Treks works with government offices, local partners, guides, porters, and independent operators to deliver smooth and supported adventures. These partners are trained and certified for their roles, but we can’t be held responsible if a third party fails to perform their duties as contracted. We also aren’t liable for personal losses, delays, or damage caused by actions outside our direct control.

We aren’t responsible for legal violations committed by travelers in any country, nor can any employee or guide modify these terms. Only the director of Nepal Voyage Treks Pvt Ltd holds the authority to amend or waive conditions under exceptional circumstances, and such requests must always be submitted in writing.


This agreement is governed by the laws of Nepal. By confirming your booking, you agree to follow the leadership and safety guidance of Nepal Voyage Treks Pvt Ltd throughout the duration of the trip.
